If you received a letter from us
A sendwise customer chose to write to you in your professional role. The letter names that company. They, or the AI assistant they use, gave us your name, job title, company and business address, usually taken from public sources such as company websites and business registers. We use these details only to print and deliver their letter.
Don't want these letters? Email marcus@hellosendwise.com and we'll stop delivering to you and delete your details from our order records, unless we have to keep them by law. You can also ask the company that wrote to you.
The QR code on the letter is personal. When it's opened, we record that it happened and when, and tell the sender. You don't have to scan it.
Who is responsible
sendwise is responsible for customer account data. For recipient details, the customer who wrote to you decides why they contact you, and we handle those details on their behalf to deliver the letter. Contact: marcus@hellosendwise.com.
What we collect from customers
- Account details: name, company, work email, phone and optional booking link.
- Orders: recipient details, letter text, delivery status and QR code activity.
- Payments: amounts and dates. Stripe processes card details; we never see them.
- Technical logs: requests to our servers, including IP address, which Google Cloud keeps for about 30 days.
Why we use it
- To provide the service you ordered (contract).
- To keep accounting records (legal obligation).
- To keep the service secure and improve it (legitimate interests).
Who we share it with
- Google Cloud hosts the service and data, in Finland.
- Stripe processes payments.
- Email and team notification providers, when we send you updates.
Your AI assistant (such as Claude, ChatGPT or Codex) is a separate service that you choose, under that provider's own terms. We don't sell personal data.
How long we keep it
We keep account and order data while your account is active, and accounting records for as long as the law requires. Recipients can ask us to delete their details at any time, as described above.
Your rights
You can ask to see, correct, delete or move your data, restrict how it's used, or object to it being used. Email marcus@hellosendwise.com. You can also complain to Lithuania's State Data Protection Inspectorate (vdai.lrv.lt).
